RGXM INC — PRIVACY POLICY

Effective date: November 3, 2026

RGXM Inc ("RGXM", "we", "us" or "our") is an experiential marketing agency based in Mississauga, Ontario, serving clients across Canada and the United States. This policy explains how we handle personal information through rgxmagency.com and related business enquiries. It does not replace a separate privacy notice for an event, promotion, recruitment process or client campaign.

1. Information we collect

When you email us about a project or otherwise contact us, we collect the information you choose to provide, which may include your name, company, email address, event location, timing, budget range, project details and subsequent correspondence. Please provide only information needed for your enquiry. Do not send sensitive personal information or personal information about other people unless necessary and you have authority to provide it.

When you visit our website, our hosting and technology providers may process technical information such as your IP address, browser and device information, requested pages, access times and security or error logs to deliver and protect the website.

We may also use analytics tools to understand how our website is used. These tools may process information such as pages viewed, referring websites, visit times, device and browser type, and approximate location.

Our website loads fonts through Google Fonts. Your browser connects to Google to retrieve these files, which discloses technical information such as your IP address and browser information to Google. Google's handling of information is described at https://policies.google.com/privacy.

2. How we use information

We use personal information to respond to enquiries; discuss, scope and prepare proposals for potential projects; communicate about our services and projects you have requested; record and track enquiries in Lightfield and Google Sheets; maintain necessary business records; operate, troubleshoot and secure our website and communications; measure and improve our website; and meet legal obligations or establish, exercise or defend legal rights.

Contacting us does not subscribe you to a newsletter. If we introduce optional marketing subscriptions, we will provide the required consent and unsubscribe choices separately.

3. Consent and choices

When you voluntarily contact us, we rely on your consent to handle the information you provide to respond to your enquiry and for the related purposes described in this policy, where consent is required. We seek additional consent when required for materially different purposes. We may also handle information without consent where permitted or required by law.

You may decline to provide information or contact us to withdraw consent, subject to legal or contractual restrictions and reasonable notice. This may limit our ability to respond to your enquiry or provide a requested service. We will explain relevant consequences when you contact us. Budget information is not required to make an enquiry.

4. Service providers and other disclosures

Netlify hosts our website. Emails sent to rich@rgxmagency.com or admin@rgxmagency.com are handled through Google's email services, and enquiry information is also recorded in Lightfield and manually maintained Google Sheets to track requests. Access to the admin mailbox is limited to selected RGXM employees. Enquiry emails may also be forwarded to RGXM owners and leadership team members for review and follow-up. Any analytics provider we use may process website usage information on our behalf. Service providers supporting these systems may process information to provide their services.

We remain responsible for personal information transferred to providers for processing on our behalf and use contractual and other appropriate measures to protect it. Google also receives technical information directly when your browser loads Google Fonts, as explained above.

We do not sell enquiry information or share it for targeted advertising. We may disclose information where permitted or required by law, including to comply with lawful requests, protect safety or security, or establish, exercise or defend legal rights. If a business transaction involves personal information, we will handle it subject to applicable legal safeguards and notice requirements.

5. Processing outside Canada

Our providers may store or process personal information outside your province or Canada, including in the United States. Information processed in another jurisdiction may be accessible to its courts, law enforcement and other authorities under local laws. Contact our privacy contact below for information about our providers and cross-border processing practices.

6. Cookies and similar technologies

Our website does not currently set cookies or use advertising trackers or embedded videos. We may use analytics to measure and improve our website, and we do not use analytics information for targeted advertising. We have not added account-login functionality. Netlify processes technical information to host our website, and Google Fonts requires a connection to Google. Personal information can therefore be processed even without cookies.

Before introducing cookies, including through an analytics tool, or other optional tracking, we will update this policy to describe the tool, information collected, purposes, retention and available choices, and obtain consent where required.

7. How long we retain information

We retain personal information only as long as reasonably needed for the purposes described here and applicable legal, contractual and recordkeeping requirements. We review enquiry records at least annually and delete information no longer needed. Retention depends on whether an enquiry remains active, becomes a project, or is needed to resolve a dispute or comply with law. When information is no longer needed, we securely delete it or make it anonymous using appropriate methods. Copies in backups may remain until the applicable backup cycle ends and are protected in the meantime.

8. Safeguards

We use safeguards appropriate to the sensitivity of the information, including access restrictions and appropriate organizational and technical measures. No transmission or storage system is completely secure.

9. Your requests and complaints

Subject to applicable law, you may ask whether we hold personal information about you, request access and information about its use and disclosure, request corrections, withdraw consent, or ask us to delete information we no longer need. Additional rights may apply under the law governing your information. These rights have exceptions; deletion is not always available where retention is legally required or otherwise permitted.

Contact us using the details below. We may request information reasonably necessary to verify your identity and clarify your request, and we will avoid collecting unnecessary identification. We will respond within the period required by applicable law, generally within 30 calendar days for access requests under Canada's Personal Information Protection and Electronic Documents Act. If an extension or refusal is legally permitted, we will explain it and any available complaint rights.

Please raise privacy questions or complaints with our privacy contact. You may also contact the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca or the provincial privacy regulator with jurisdiction over your information.

10. Changes

We will post revisions here with an updated effective date. We will provide additional notice and seek consent for material changes where required by law.
